I put this list together after our third cruise, which was the first one where nothing caught me off guard. The big lesson: DCL has a lot of time-sensitive windows where you need to be awake at midnight ready to book. Get those dates on your calendar early and everything else feels manageable. This covers the whole timeline from booking to boarding, including a few things I wish someone had told me before our first sailing.

6+ Months Before You Sail
Book as early as possible for the best stateroom selection. DCL opens bookings 18 months out for new sailings and 12 months out for returning Castaway Club members.
Concierge, connecting rooms, and Deluxe Family Oceanview Verandah categories go first.
Book directly with Disney Cruise Line or through a DCL-authorized travel agent. Get Away Today and Dreams Unlimited both offer free planning assistance and handle booking windows on your behalf.
Purchase travel insurance right after booking, not the week before.
If a kid gets sick before departure, you want cancel-for-any-reason coverage already in place. DCL sells a policy at booking; third-party options (Allianz, Travel Guard) are often broader.
Register for the Castaway Club if this is your first DCL sailing. It is free and unlocks member-only booking windows and perks on future cruises.
Look up your Activities Booking Day (also called your booking window date). It is based on your sail date and Castaway Club status. Platinum members book first (105 days out), then Gold (90 days), then Silver (75 days), then first-timers (75 days). Write the date down and set a midnight alarm.
This is the single most important date before your cruise. Miss it and Palo, Remy, Bibbidi Bobbidi Boutique, and top-tier port adventures will be gone.
Join the Facebook group for your specific sailing date. Search "Disney [ship name] [month year]." These groups organize fish extender exchanges and share onboard tips.
If you want to join a fish extender (FEX) group, sign up early through your sailing's Facebook group. You will need time to gather or make small gifts.
FEX is optional but the kids love it. Totally manageable to skip on a first cruise.
Plan your ground transportation to the port and book it. If flying, book a hotel near the port for the night before. Do not arrive the morning of a flight thinking it will be fine.
Booking Window Day (Midnight Eastern)
Book Palo Steakhouse (adults-only, dinner or brunch). This is gone within 20 minutes of the booking window opening.
Book Remy (on Dream and Fantasy) if it is a special-occasion trip. Pricier but more coveted than Palo.
Book Bibbidi Bobbidi Boutique if you have a child who wants it. Book the castle package if budget allows as it includes a photo session.
Book port adventures for Castaway Cay (beach umbrerellas, snorkel rentals, bike rentals). These also open on booking window day and sell out fast.
Book port excursions for any non-Disney ports (Nassau, Grand Cayman, etc.) at the same time.
Book spa treatments at Senses Spa if that is on your wish list.
1–3 Months Before
Download the Disney Cruise Line Navigator app and log in. This is how you view the daily schedule, restaurant menus, and activity times onboard (using the ship's free Wi-Fi).
Order a non-surge-protector power strip. DCL staterooms typically have 2-3 outlets total and none near the bed. Surge-protected strips are not allowed onboard.
This is the item I am most glad I packed. Between phones, the baby monitor, and the white noise machine, we needed every plug.
Order a travel white noise machine if you have a toddler who naps. Staterooms are not soundproof and the hallways get loud around 10am.
Order hard plastic luggage tag holders. DCL sends paper luggage tags before your cruise; without a rigid holder they tear off at baggage claim.
Order Sea-Bands for kids and adults if anyone in your family is prone to motion sickness. The Fantasy in particular can be rocky in rough weather.
Get the children's size for kids under 8. Pair with Dramamine or Bonine for rough seas.
Pack a small travel first aid kit. The ship has a medical center but the copays are steep and it is a hassle with little kids.
Buy reef-safe sunscreen before you go. It is required at Castaway Cay and significantly cheaper to buy at home than onboard or at the port.
Order any formal night outfits. DCL has two dress code levels: semi-formal and formal. You do not have to participate but Gracie's princess dress moment at dinner is something I would not trade.
Decide on gratuities. DCL automatically adds gratuities to your account at the end of the cruise (currently $14.50 per person per night). You can prepay through your online account or adjust the amount at Guest Services onboard.
30 Days Before (Online Check-In Day)
Complete online check-in at midnight Eastern. This is when your Port Arrival Time (PAT) window opens. Earlier PATs (10:30-11:00am) fill up within minutes of the window opening.
Platinum Castaway Club members can check in at day 40, Gold at day 35, Silver and first-timers at day 30. Confirm your exact date in your Disney Cruise Line account.
Upload a passport photo and enter all guest information during check-in to speed up your port arrival. Have your passport or birth certificate numbers ready.
Select your Port Arrival Time (PAT) when it appears. Earlier is better. Boarding starts around noon and lunch at Cabanas opens as soon as you board.
Book Royal Gathering experiences (character meet-and-greets) if they are available for your sailing. These also open at 30 days (or earlier for upper Castaway Club tiers) and book out fast for popular characters.
Add a credit card to your onboard account during online check-in so you are not stuck at Guest Services on embarkation day.
Note any special occasion (birthday, anniversary) in the reservation if you have not already. Guest Services can set up small celebrations but lead time helps.
The Week Before
Print and attach luggage tags to every bag. DCL mails paper tags roughly 2-3 weeks before sailing. Slip them into hard plastic holders before you leave home so they survive the trip to the port.
Confirm your reservation details: stateroom number, dining rotation, excursion times, and specialty restaurant reservations. Log into your DCL account and screenshot everything.
Pack your carry-on with embarkation day essentials: swimsuits, kids' snacks, medicines, documents, and anything you need before checked bags arrive (usually 3-5pm the first day).
Pack toddler medicines in the carry-on, not checked luggage: Tylenol, Motrin, Benadryl, motion sickness medication, and any prescription meds.
Pack a binder clip or two for the stateroom curtains. There is always a gap where light comes through at 6am. This is a small thing that makes a real difference with napping toddlers.
Download movies, shows, and audiobooks for travel days. Ship Wi-Fi is fine for the Navigator app and basic browsing; it is not reliable for streaming.
Confirm ground transportation, parking (Port Canaveral lots book up), or hotel-to-port shuttle. If you are parking, the off-site lots near the port are significantly cheaper than the terminal lots.
Embarkation Day
Arrive at your Port Arrival Time (PAT), not before. DCL enforces it and you will sit in your car until your window opens. Arriving on time moves faster than arriving early.
Eat breakfast before you arrive. The Cabanas buffet opens once boarding begins, but if you are in an early boarding group you may be on the ship before it opens. Port food is slow and expensive.
Have your travel documents accessible: passports or original birth certificates with photo ID for adults, boarding passes printed or loaded on your phone.
Complete the muster drill as soon as you board. Since 2020, DCL uses an e-muster system: watch the safety video on your phone or stateroom TV, then check in at your muster station. Get this done early so your afternoon is free.
Go straight to lunch at Cabanas (the buffet on deck 9-11, depending on ship) when you board. It is the fastest way to get food into kids while you wait for staterooms to open.
Attend the Oceaneer Club open house in the afternoon so your kids can see the space before their first drop-off. Gracie refused to go the first night until she knew what it looked like inside.
Check the Navigator app for tonight's rotational dining assignment and dinner time. Note your assigned dining room.
Request a pack-and-play (portable crib) from your stateroom host if you need one for a toddler. Set it up before bedtime so the baby is not sleeping on a bare mattress.
